Data Security

All files with personally identifying information are to be maintained in a secure location. For current files, this is in a locked filing cabinet in the assigned counselor’s office. All counselors have private offices which remain locked when not in use. When files are taken from the office, for example, by review of the external evaluator while using the conference room, the files will stay in physical possession of the individual at all times.

Closed cases files may be stored in a locked filing cabinet in the storage room in the Spirit Lake Vocational Rehabilitation Project office. This room is not open to the public and remains locked when not in use.

The Spirit Lake VR Database is stored on a secure encrypted server hosted at pair.com . No personally identifying information is maintained on the server, with all consumer data matched only with a  random identifier which can also be found on the files in the project office.
